All software requests for students, faculty, staff and administrators will be evaluated and approved through the appropriate channels.  Various factors need to be considered for each software package including licensing, cost, network implications, security implications, and possible overlap with existing software packages at the college.  Please see below for more information related to software at the college.

New Software Request 

All software requests must be submitted to the ITS ServiceDesk for review and approval prior to purchasing the software.  Any information that can be provided at the time of the request will help to expedite this process.  


A technical evaluation of the software will be performed by the Software & Asset Management Team to verify requirements.  This list includes some of the criteria being examined, but is not all inclusive as each new package can bring new scenarios which need to be investigated

  • Licensing/Compliance
  • Compatibility with current CCAC hardware/software standards
  • If comparable software already exists at the college
  • Network requirements & compatibility
  • Information security risks
  • Data storage
  • Cloud storage

The Client Services team and Information Security team both must provide approval to move forward.   At that time, the customer will be informed of the next steps and funding source will need to be identified.

Update to Software Request 

All requests for software updates must be submitted to the ITS ServiceDesk for review and approval prior to applying the updates.  Any information that can be provided at the time of the request will help to expedite this process.  

A technical evaluation of the software will be performed by the Software & Asset Management Team to verify if any requirements changed.  Software companies will implement changes during a version upgrade that may have a negative impact on the computer, or may include increased security risks to the college.  

The Client Services team and Information Security team both must provide approval to move forward.   At that time, the ITS team will reach out with next steps.

Types of Licensing

When placing a request for software, please include the type of license being purchased.  While this is not a comprehensive list, it does include some of the most common types of software licensing:

  • Perpetual License: A type of software license that authorizes an individual or specified computer to use a program indefinitely. Generally, outside of termination, a perpetual software license allows the holder to use a specific version of a given software program continually with payment of a single fee.
     
  • Software Subscription: A software licensing and delivery model in which software is licensed on a subscription basis and is typically cloud based.   Typically, software is renewed on an annual basis.  

 

  • Per Seat License: A software license model based on the number of individual users who have access to a digital service or product.  Some popular options offered include concurrent licensing (shared user licenses), named user licenses (per individual), and device licenses (per computer).  


  • Enterprise / Site-wide License: A software licensing model that covers the installation of software on all enterprise computers, or all computers at specified geographic locations.

 

  • Client Access License (CAL): Allows users to connect to server software to use the software’s features/functions.  Typically pricing does not reflect the costs for the server and related software and licensing.  

 

  • General Public License (GNU): License and software available for free. Allows users to use, share, copy and modify the software.

 

  • Freeware: License requires no purchase but the copyrights are still held by the developer. Developer can sell the software in the future and does not distribute the source code.

 

  • Software Maintenance: An annual contract, usually calculated as an annual fee based on some percentage of the total software cost. It generally provides for overall support and maintenance of a software product.
