What Is the Loaner Laptop Program?
CCAC is offering a Student Loaner Laptop Program, which gives students the opportunity to borrow a laptop. The device may be borrowed on a semester basis and students can keep their device(s) as long as they are enrolled at CCAC and have renewed the laptop each semester.
Who is Eligible?
To be eligible to receive a laptop through the program, the student must:
- Be 18 years of age or older at the time of application or have a parent/guardian consent
- Be registered for at least one credit course in the academic term for which the laptop is being requested
- Be in good academic, behavioral and financial standing with the College
- Be available to pick up and return the laptop at Allegheny, Boyce, South, or North Campus during the specified checkout dates/times
- Be available to bring the laptop to Allegheny, Boyce, South, or North Campus by appointment as needed to address any technology-related issues.
- Be in good standing with the Program (no unreturned or damaged equipment or other failure to comply with the terms and conditions set forth below)
- Schedule a time and location to pick up your laptop within one week of acceptance into the program
What Is the Process for Getting a Loaner Laptop?
A current student will need to submit an application. Applications are submitted through the Loaner Laptop Request Form and approved on a first-come, first-served basis as long as devices are available. Please make note that we have a limited supply, so be sure to apply early!
The application opens 45 days prior to the semester and students can begin applying at that time.
If approved, students will be emailed a link to schedule their pickup. The appointment must be scheduled through Calendly within 7 days. Students may pick up the laptop at:
- Allegheny Campus, Library Building, Room L104
- Boyce Campus, Room S588
- North Campus, Room N2049
- South Campus, Room L482
The pickup appointment will take approximately 30 minutes. Prior to pickup, please check your email to proactively sign the DocuSign document that details the terms of service.
Note that the application period opens after registration begins and will remain open for the first 8 weeks of each fall/spring semester and for the first 6 weeks of the start of the summer semester.

Where do I pick up my loaner laptop now that I have been approved?
- Please note that Pick up appointments will take about 30 minutes while the laptop is configured.

Can I pick up or drop off at a different campus or center?
- You can pick up and drop off at any of the main four campuses. Unfortunately, we cannot facilitate these services at the centers (West Hills, Homewood Brushton, Braddock Hills)
What if I missed the application deadline?
- The application is open 45 days in advance of the next semester and will remain open through approximately the middle of the semester. The assumption is that by a few weeks into the semester, all laptops will be allocated. Please make sure to apply early next semester. I applied, but then I didn’t sign up for an appointment. Can I now?
- One you apply to the program, you have 7 days to schedule your appointment. If you miss that window, you are automatically removed from the list and will have to reapply. Please follow through with the application process again. Unfortunately, there is a high demand for the laptops, and this is the most effective way to ensure that we are providing laptops to students in need as quickly as possible.
I applied and then signed up for an appointment, but then I missed my appointment. What can I do now?
- The ITS team will provide a 15-minute window past your scheduled appointment time on Calendly. If you missed this window, you will be removed from the list and will have to reapply. Unfortunately, there is a high demand for the laptops, and this is the most effective way to ensure that we are providing laptops to students in need as quickly as possible. If you still wish to request a device, please go through the application process again.
Waiting List
If you have been added to the waitlist, all available resources that semester have been allocated. In the event that resources become available, you will be notified via your CCAC email. Please be sure to check your email for the latest updates to your status. In the meantime, please feel free to use any of the computer resources we have on campus. How long is the waitlist? What are my chances of getting a computer if on the waitlist?
- Unfortunately, we cannot provide that information as the waitlist fluctuates and is dependent on too many factors out of our control for us to be able to provide an estimate. This is an emergency, can I bypass the waitlist?
- Unfortunately, the system is designed to support students on a first-come, first-serve basis. Returning the Loaner Laptop
Laptops must be returned once the current student is no longer taking classes. For example: if the student is only taking one semester, they must return it after the end of that semester. The summer semester is included – so if the student has a laptop loaned for a Spring semester but is not registered for Summer classes that year, they must return the laptop by the end of that Spring semester – even if they are registered for fall classes later that year.
The laptop must be returned to one of the following locations. Please note that only Allegheny Campus offers walk-in hours the last two weeks of the semester. All other returns are by appointment only:
- Allegheny Campus, Library Building, Room L104. (Allegheny Campus will also have Walk-In hours for Returns during the last two weeks of the semester. Students will receive an email with specific dates as the end of the semester approaches. All other returns must be scheduled.)
- Boyce Campus, Room S588
- North Campus, Room N2049
- South Campus, Room L482
Failure to return the laptop at the specific date and time will result in charges for the laptop being placed on the student’s college account.
Costs listed below are based off of current pricing agreements:
- Laptop: $1,310 (for laptops borrowed through Fall 2025)
- Charger: $37
- Bag: $14
- Battery: $70
Renewing the Loaner Laptop
Students must renew the laptop within the web application at the end of every semester to ensure they can have a laptop for the following semester. If students do not renew or return their laptop before the return due date, they will be charged for the laptop.
Renewal Application
I have a laptop and want to keep it for next semester. How do I renew?
- Please ensure you are registered for next semester. Then visit https://webapps.ccac.edu/LoanerProgram/Default.aspx to reapply for the program. You have the entirety of the semester until 2 days after finals end to renew your laptop. If you fail to renew within that timeframe, you will be required to return the laptop.
What if I missed the renewal deadline?
- You will be required to return your laptop. Failure to do so will result in charges to your account. If you still wish to request a device for the following, please go through the application process again.
Service Requests/Repairs
If there is an issue with my laptop, what should I do?
- If the laptop has a problem, the student will need to contact the ITS ServiceDesk. The ServiceDesk will work with them to troubleshoot over the phone or email. If the issue warrants on site repairs, a technician will schedule a time to work with them in person. The laptop will need to be brought to Allegheny Campus for repairs at the scheduled time. ITS is unable to accommodate walk up repairs and all repairs should be scheduled prior to coming to campus for help. The laptop will be unavailable for a period of time while repairs are completed. During the repair period, an additional laptop will not be provided. However, students are encouraged to utilize the various other resources available on campus: Computer Availability
- All hardware repairs for laptops will take place at Allegheny Campus. Any laptops dropped off at Boyce, North, and South campus for repairs will be shipped to Allegheny Campus, repaired, and then shipped back for pickup. For this reason, ITS encourages broken laptops to be brought directly to Allegheny Campus when possible for a faster turnaround time.
My laptop is broken or in for service. Can I have another while it's being repaired?
- Unfortunately, our resources are limited and we do not have spare laptops for this purpose. We will work as quickly as possible to repair your device, and we will contact you once it is finished. Can I ship the device to you for repair?
- No, you must bring the device to Allegheny, Boyce, North, or South Campus for repair.

- Can I install software on the laptop?
- Yes, and a list of frequently used software can be viewed and installed from the “Company Portal” shortcut on the laptop’s desktop.
- When installing software, students must adhere to all copyright and licensing laws as well as CCAC’s Copyrights And Fair Use Guidelines, as set forth in the CCAC Administrative Regulations Manual, and CCAC Board Policy VII.03 – Software Copyrights. The ITS department cannot guarantee that we are able to support all software or provide assistance with installation or use. Students should only install software from reputable sources and only software necessary for CCAC classwork. The software already pre-installed on the laptop should not be modified or removed.
